Executive/Assistant Manager – HR Operations

The ideal candidate should be highly proactive, self-driven, and capable of independently managing day-to-day HR operations with minimal supervision. The role requires strong ownership, problem-solving ability and effective coordination across departments. We are looking for a detail-oriented and dependable HR Operations professional to manage end-to-end employee lifecycle processes, payroll coordination, HR compliance, HRMS management, and employee documentation. The role requires strong process orientation, accuracy, ownership, and the ability to coordinate effectively across functions. The individual will play a key role in ensuring smooth HR operations, statutory compliance, employee record management, and timely execution of operational HR activities.

Role & Responsibilities:

  • Employee Onboarding
    • Manage end-to-end onboarding activities for new employees and consultants.
    • Coordinate with internal teams such as IT and Admin for Asset allocation,Joining kits,Biometric access and Seating arrangements
    • Create and maintain employee records in HRMS with complete accuracy.
    • Initiate and track background verification processes.
    • Ensure all joining documentation and employee files are maintained systematically.
  • Payroll Operations
    • Coordinate and drive monthly payroll activities.
    • Collect payroll inputs, validate documentation, and ensure timely processing.
    • Ensure payroll activities are compliant with statutory and internal requirements.
    • Coordinate with Finance and payroll vendors as required.
  • HR Reports & Data Management
    • Prepare and share periodic HR reports and dashboards internally and with the parent company.
    • Maintain employee records and HR databases with high accuracy.
    • Support HR data analysis and reporting requirements.
  • Offboarding & Exit Management
    • Manage end-to-end employee exit processes.
    • Coordinate clearance, documentation, and final settlement processes.
    • Ensure timely issuance of exit-related documents.
    • Maintain proper records of separations and exits.
  • HR Compliance
    • Support statutory and labor law compliance activities.
    • Coordinate filing of statutory documents with labor authorities.
    • Conduct monthly induction sessions for new joiners.
    • Conduct half-yearly compliance refresher sessions.
    • Ensure employee files and records remain audit-ready and compliant.
  • Employee Documentation
    • Prepare and issue employee letters including Appointment ,Confirmation, Appraisal, Warning,Exit letters, Bank NOCs etc.
    • Maintain proper filing and documentation for all employee records.
  • Consultant & Vendor Management
    • Manage onboarding and documentation for consultants and vendors.
    • Coordinate consultant and vendor invoicing processes.
    • Support agreement documentation and record maintenance.
    • Issue consultant experience letters as required.
  • HRMS Management
    • Maintain and update HRMS records with 100% accuracy.
    • Support employees in HRMS usage and resolve basic queries.
    • Ensure data integrity and process adherence within the HRMS.
  • Talent Acquisition
    • Sourcing, screening, scheduling interviews, salary negotiation, releasing offer letter

Skills & experience required to Succeed in this role:

  • Graduate/Postgraduate in HR or related field.
  • 5+ years of relevant experience in HR Operations
  • Experience working in structured organizations or fast-paced environments.
  • Exposure to HRMS systems and payroll coordination.
  • Prior experience managing employee lifecycle operations and payroll independently.
  • Ability to work independently and manage multiple priorities efficiently.
  • Strong ownership mindset with proactive problem-solving abilities.
  • Excellent coordination and stakeholder management skills.
  • Strong communication and interpersonal skills.
  • Ability to handle confidential information with high integrity.
  • Experience in handling HR audits/compliance audits.
  • Knowledge of labour laws, PF, ESIC, PT, Gratuity compliance.
  • Experience with attendance management and leave management systems.
  • Exposure to employee engagement activities.
  • Vendor management and contract tracking.
  • Experience working with recruitment consultant’s coordination.
  • Experience in handling employee background verification processes and coordination with BGV vendors.
  • Strong Excel and MIS reporting skills.
